Operations Coordinator - Lens Supplier and Production Partner

The Operations Coordinator will play a crucial role in managing and optimising the supply chain and lens production processes of our eyewear company. This position involves working directly with our lens provider and production partner to ensure seamless operations, handling customer order management, and focusing on cost and production optimisation. The ideal candidate will be detail-oriented, proactive, and capable of building strong relationships with our production partner to drive efficiency and continuous improvement.

This position is full-time and available immediately at our headquarters office in Amsterdam

Key Responsibilities

Customer Order Management (40%):

  • Order Processing: Manage and oversee the customer order process once it has arrived at the lens production partner, ensuring orders are accurately processed and completed in a timely manner.

  • Order Exceptions: Identify, investigate, and resolve order exceptions, including incorrect lens specifications, incomplete customer information, and other discrepancies with internal and external stakeholders.

  • Order Obstructions: Proactively address and mitigate order obstructions such as stock shortages, production delays, and shipping issues with support from internal and external stakeholders.

  • Communication: Maintain clear and effective communication with internal stakeholders regarding order status, delays, and any issues, ensuring high levels of customer/stakeholder satisfaction.

Production and Supply Chain Coordination (30%):

  • Production Scheduling: Coordinate with the lens production partner to schedule manufacturing runs, ensuring optimal use of resources and meeting delivery deadlines.

  • Quality Control: Work closely with the production partner to ensure all products meet quality standards, implementing corrective actions as needed.

  • Logistics: Manage the logistics of lens production partner, including the management of customer orders leaving the production partner, optimising routes and costs.

  • RFC and Optimisation Project Management: Manage Requests for Change (RFC) and optimisation projects, including additional lens offerings, lens replenishments to stores, and carrier and shipping improvements.

Relationship Management and Optimisation (30%):

  • Partner Collaboration: Build and maintain strong relationships with the lens provider and production partner, fostering open communication and collaboration.

  • Cost Optimisation: Identify opportunities for cost savings in production and supply chain processes. Sharing all cost savings and negotiation opportunities with the Operations Manager for review and approval.

  • Process Improvement: Continuously analyse lens production and supply chain processes, implementing improvements to enhance efficiency, reduce waste, and lower costs.

  • Performance Metrics: Track and report on key performance indicators (KPIs) related to lens production, quality, and supply chain efficiency, using data to drive decision-making and improvement initiatives.

Qualifications:

  • Bachelor's degree in Business Administration, Supply Chain Management, Operations Management, or a related field and/or combined with equivalent experience.

  • 2+ years of experience in operations coordination, supply chain management, or a related role, preferably in the eyewear or consumer goods industry.
